C Envelope Formats

Being assigned the task of buying in the offices envelopes is not a nice chore when you don’t fully understand the sizes. The consequences of making a mistake can be catastrophic as a business relies heavily on its outbound mail for both invoices and sales purposes. So if that’s you, then good luck, or if you a spare moment, read on. This post will give you a simple explanation as to the different envelope formats available, their measurements and which paper fits inside them unfolded. Once you fully understand paper formats, it does make comprehending envelope formats a lot easier as they go hand in hand.

  • C4 Envelopes – In basic, C4 envelopes are made to complement A4 paper, as a sheet of A4 paper will fit perfectly UNFOLDED inside a C4 format envelope. These are particularly useful for when the contents of the envelope must not be folded and must remain pristine. Dimensions – 324mm x 229mm (12¾” x 9″).
  • C5 Envelopes – These are intended to be used with A5 paper UNFOLDED or alternatively with A4 format paper FOLDED ONCE. These too are a very popular envelope style and commonly contain leaflets and small brochures. Dimensions – 229mm x 162mm (9″x 6⅜”).
  • C6 Envelopes – These are designed to work with A6 format paper (see the pattern here?) UNFOLDED, or alternatively with A5 format paper FOLDED ONCE, or A4 format paper FOLDED TWISE. These have many uses however most commonly are used to issue wages and payslips. Dimensions – 114mm x 162mm (4½” x 6⅜”).
  • DL Envelopes – The most popular business envelope is the DL format envelope. This takes a sheet of A4 format paper folded TWISE into thirds or A5 paper FOLDED ONCE. There’s an art to folding paper for use in DL envelopes, carefully bend the letter without actually folding it into an ‘S’ shape, adjusting it until the three sections look the same size. To be extra cautious, check it against the envelope to make sure it will fit. Once you have found your three equal parts press down to a permanent fold and you’re done. Dimensions – 110mm x 220mm (4⅓” x 8⅔”).

Now that you’ve found the right format envelope you will now have a choice of seal and style. Wallet and banker variety envelopes will have the opening along the long edge and are probably the most popular envelope type. Alternatively, pocket envelopes have an opening along the short edge, these too are a relatively popular choice. Other choices include gusset which expand to hold their contents, or padded and protective envelopes which are reinforced by means of board, foam or bubble wrap.

When it comes to the seal, you have three choices. The oldest is of course gummed where the flap must be moistened in order for the adhesive to work. These are great if you don’t mind the taste, or have a wet sponge to hand, as they are the cheapest option. Alternatively, we have press and seal envelopes which simply require you to apply the two glued flapped together. Finally, peel and seal envelopes have a glued strip protected by plastic, simply fill the envelope, then peel back the plastic strip and close.

A C6 envelope holds a piece of A4 paper folded into quarters, an A5 piece of paper folded in half once or a piece of unfolded A6 paper. The DL envelope is commonly used in business and requires an A4 piece of paper to be folded into thirds or an A5 piece of paper folded once.

The Green Bit

How to PROPERLY Address an Envelope

Addressing envelopes isn’t always as simple as it may seem, especially if you’re looking for a professional and respectable finish. There seems to be an unspoken art to it which many people are unaware of, however after much research we are able to give you the tool to address your envelopes correctly here.

What You’ll Need

The first thing to remember when addressing an envelope is to print the return address as neatly as possible in the upper left-hand corner of the envelope. This is not something you see all that often, however it is part of addressing etiquette and does look very sophisticated. You can use this method for personal letter writing and for your business post too.

When writing out the return address begin by printing the senders name or the company name. This should be the first line of the address. Next add the sender’s street or road name (including Ct, Ln, St, Rd, Terr, Ave, Way, Dr, Cl, as well as the number of the house, office, floor or business premises) or post office (P.O.) box number on the second line. Make sure to include specifics for mail distribution within a large company.

Next print the county, district or city name below the above making up the 3rd line of the address. Finally on a separate line, print the postal code using capital letters and break spacing between the two half’s of the postal code. It may even be necessary to add the country on the 5th line, should your letter be intended for a country different to your own.

Next, print the mailing address (destination address) in the middle of the envelope or package, making sure that each element of the address is in the same order as your return address as explained above. Finally, apply the correct postage stamp to the upper right-hand corner of the envelope, the same side as the destination and return address.

Tips & Warnings

Make sure when printing the address onto the envelope that you are doing so before the contents of the envelope has been added. This way you will be writing on a flat surface, producing the best possible results and you do not run the risk of marking or damaging letters, documents and photos within.

To correctly address a letter intended for a member of the military; make sure to use the recipient’s grade and their full name (including middle initial or middle name) on the first line. Write the PCS number, unit number or ship name on the second line and on the third line, military addresses use an APO (Army Post Office) or FPO (Fleet Post Office), then a regional designation such as AE (Europe, the Middle East, Africa and parts of Canada), AP (the Pacific) or AA (the Americas and parts of Canada). On the last line, add the postal or zip code.

Never address an envelope with a pencil. Always use a pen as printing using bold ink will stand out more and withstand handling and weather conditions – try to use waterproof ink!

Where possible, avoid taping down your postage stamp as postal processing equipment cannot read ultra-violet ink from a covered stamp so may return your letter to you.

C4 Envelope Window Placements

If your business has a large and constant flow of internal and external mail, then it is always a good idea to have a billing system set up on your computer. C4 envelopes are often referred to as A4 envelopes because they are designed to hold an A4 sheet unfolded. However paper sizes and envelope sizes are actually two different standards; A4 paper (210mm x 297mm) is 19mm narrower and 27mm shorter than the C4 envelope which measures 324mm x 229mm.

Did you know?

A man named A.F. Callahan of Chicago, Illinois, filed a patent for the “window envelope” on June 10, 1902. He described his invention as an envelope which would have holes for viewing the paper inside. He suggested that the holes could be covered “with a section of transparent material–as, for example, very thin rice paper.” So, the first windows were a lightly waxed rice paper. The windows where later made from glassine, a shiny almost transparent paper. Nowadays, our windowed envelopes use clear plastic to cover the holes. He believed his invention would save labour and time, as addresses would not need to be printed or typed onto the envelopes. He also realised that it would now be possible to have multicoloured envelopes and the text would be visible no matter what, through the window. Today, we print envelopes in all kinds of striking colours and take advantage of the address window by using the envelope space for attention grabbing messages for advertising.

What Does DL Stand For In Envelope Sizes

As boring as envelope sizes may seem as a topic, many people have un answered questions relating to this. We’ve explained envelope sizes to you on a number of occasions and have even given you some examples of uses for these different sizes, however we’ve not explained where they get there individual names from. Most envelopes fall into the C series, which is defined by ISO 216 and are given names such as C4 (one of the more popular sizes), C5, C6 and so on (sizes range from C0 to C10).

However one of the most widely used business envelopes is the DL envelope who’s format does not fall under the C series sizes, this is because it has a different aspect ratio. To understand further about where DL envelopes originated from and what exactly DL stands for we have done a little research into the subject. The DL envelope came from Germany back in the 1920′s and was then known as DIN Lang. However we now understand the abbreviation to stand for ‘Dimension Lengthwise’. The size is included and defined in the ISO standards for envelope sizes, as the standard would have been negligent in excluding the most commonly used business envelope size.

Interestingly, automatic enveloping machine manufacturers have complained that the DL size is slightly too small for reliable enveloping. The C6/5 envelope was later introduced measuring 114 x 229 mm, however the original DL size remains the most commonly used. It is considered the most professional way to mail a business document. An A4 sheet of paper must be folded into 3 equal sections parallel to its shortest sides, so that it can fit into this sized envelope. Its dimensions are 110 x 220 mm (4⅓” x 8⅔”). The dimensions are 324mm x 229mm (12¾” x 9″). C4 envelopes are sometimes incorrectly referred to as A4 envelopes as they are designed to hold an A4 sheet unfolded. However paper sizes and envelope sizes are actually two different standards; A4 paper (210mm x 297mm) is 19mm narrower and 27mm shorter than the C4 envelope.
